Role Overview
We are looking for a responsible and detail-oriented Paralegal / IP Administrator to support our Intellectual Property team in managing trademark, patent, industrial design and copyright matters.
This role focuses primarily on case handling, documentation, coordination, and deadline management. The ideal candidate should be organized, meticulous, and comfortable working with structured processes and timelines.
Key Responsibilities
1. IP Filing & Case Handling Support
Prepare and file trademark, patent, industrial design and copyright applications.
Conduct basic trademark and patent searches using relevant databases.
Prepare draft filing forms and supporting documents.
Assist in preparing responses to office actions and registry correspondence.
Liaise with foreign associates and agents for overseas filings.
Ensure all filings comply with relevant IP regulations and submission requirements.
2. Documentation & Administrative Support
Prepare and format IP-related documents, letters, and forms.
Organize and maintain proper filing (physical and digital).
Ensure documentation is complete and properly recorded before submission.
3. Portfolio & Deadline Management
Monitor IP deadlines including renewals, responses, and maintenance requirements.
Update and maintain accurate records in the internal IP management system.
Prepare renewal reminders and coordinate with clients for confirmation.
Track progress of cases and follow up with relevant parties where necessary.
Ensure timely invoicing and administrative coordination where required.
4. Client & Associate Coordination
Communicate with clients to obtain instructions and required documents.
Respond to routine client enquiries under supervision.
Coordinate with registry officers, foreign agents, and internal departments.
Provide status updates to consultants when needed.
5. Research & Regulatory Updates
Assist in basic legal research relating to trademark and patent procedures.
Stay updated on registry practice changes and internal SOP updates.
Ensure compliance with internal filing and documentation standards.
Requirements & Credentials
Diploma or Bachelor’s Degree in Law, Business Administration, Management, Science, or related field.
Certification in Intellectual Property (e.g., IP short courses, WIPO courses) is an advantage.
Prior experience in an IP firm, law firm, or corporate secretarial firm is preferred but not mandatory.
Fresh graduates with strong administrative and documentation skills are encouraged to apply.
Basic understanding of trademark and patent filing procedures is an advantage.
Proficient in Microsoft Office (Word, Excel, Outlook).
Familiarity with IP databases (e.g., MyIPO, WIPO, IPOS systems) is a plus.
Strong attention to detail and ability to manage multiple deadlines.
Good written and verbal communication skills in English (Mandarin is an advantage).
High level of integrity and ability to handle confidential information.
