A. Daily Jobs
Update summary data of branches’ daily account:
i. Key in date of daily accounts received for every branch
i. Key In daily collection according to amount and types of payment collection
2. Counter check and confirm daily account sent by branches is complete and up-to-date in daily basis:
Ensure the total amount of Official Receipts (OR), total amount in CHJ Cash Book, and total amount in “HP Receipt Listing” downloaded from MMS system are tallied for monthly installment collection.
Ensure the total amount of OR and total amount in branches’ Cash Book are tallied for motorcycle purchase payment and road tax payment.
Ensure the total amount of “Cover Note Enquiry” and total amount in Millenglow Cash Book are tallied for vehicle insurance payment.
To ensure credit card slip, debit card slip, bank slip, e-wallet slip, Duitnow slip, internet banking list, cash deposit machine (CDM) listing, Jompay listing and iPay88 listing are being attached completely with daily accounts sent.
Ensure details (Date, Amount, Account Number and Name) in OR issued are tallied with the slips received.
Check for details and amount of issued Cash Payment Voucher (CPV) from CHJ, branches and Millenglow account.
Ensure cash balance less than RM10.00 is packed in a small plastic bag and is sent together with daily account.
Inform Branch Officer to amend shall there be any mistakes or incomplete documentations.
Scan verified Cash Book to keep as a copy and send hard copy of daily account to HQ.
3. Branch visit (Replace BO / ABO in branch visited)
Handover the cash before and after replacement of BO / ABO
Fill up the handover amount in “Replacement BO Form” and ensure both parties (BO / audit members) signed on the form before and after replacement of BO / ABO.
Ensure tasks have been done completely and accurately by officer in branches
Assist officer shall there are any questions or doubt on job assigned
Prepare report regarding branch progress to Department Head
(Stock Check)
B. Daily Jobs
Audit covers all branches and must be completed within one month, unless there are valid reasons why the audit cannot be carried out.
Prepare a complete list of tasks to be performed or checked during the audit at the respective branch (Branch Audit Check List).
Print a copy of the branch stock to be visited, based on stock records from OPD.
Upon arriving at each branch, first check the “petty cash” and ensure the amount is sufficient for daily operations. If there is any shortage or excess of funds, the Branch Officer (BO) must provide reasons and explanations for the discrepancy
All stocks of new and used motorcycles will be verified (by checking key, engine number and chassis number). Manual stock records must match the stock data in the computer system (for both Branch and OPD records)
If there is any excess or shortage of stock, refer to the Branch Officer (BO) and OPD for verification and confirmation.
Continuously monitor stock levels and verify sales reports using the E-Management System (EMS System).
Check the status of motorcycle sales (Invoice & Date, Engine & Chassis details, PDI & DO Date, Stock Location & JPJ Registration Status)
For motorcycles ready for JPJ registration, obtain verification for VOC, Road Tax, Motorcycle Keys and complete agreement documents (held by the Branch Officer) before releasing the motorcycle to the customer
Verify that “Sales Invoice”, Delivery Order (DO) and PDI documents are arranged in numerical invoice order, and are fully signed and endorsed.
After releasing a motorcycle, ensure the sales agreement is complete and deliver it to the Head Office (HQ) within the specified time and date
All work performed must follow the provided Branch Audit Check List.
Submit the audit report once the audit is completed

Assist and support branches.
Replacement for account audit team members in checking branches daily accounts.
