Introduction:
As an Admin Assistant (HM), you will provide administrative support for HM project administration functions and assist with personnel-related processes such as work pass applications, pass renewals, training coordination, and general employee administration.
Your role is important in ensuring smooth day-to-day operations by maintaining accurate records, coordinating submissions and follow-ups, and supporting compliance with internal and external requirements. You will also be responsible for tracking teammates’ attendance and supporting the team with timely administrative assistance.
Objectives of this role
· Provide administrative support for HM project administration and related coordination work.
· Assist with personnel administration, including pass applications, renewals, onboarding documentation, CIDB, training records and related.
· Support the preparation and submission of Permit to Work documents, workers’ namelists, and other site access or compliance-related documentation.
· Maintain accurate employee and project-related records, trackers, and filing systems.
· Track teammates’ attendance, leave records, and related administrative updates.
· Support timely communication and follow-up with internal teams, employees, and external parties where required.
Your tasks
· Support HM project administration matters, including preparation of documents, records maintenance, and coordination of project-related administrative tasks.
· Assist in preparing and submitting personnel pass applications and related documentation accurately and on time.
· Coordinate work pass applications, renewals, cancellations, and follow-ups with the relevant authorities or service providers along with the HR team.
· Prepare, compile, and submit Permit to Work applications, workers’ namelists, and other required site access documents in accordance with project and client requirements.
· Coordinate with internal teams, site personnel, and external parties to ensure all required documents for site entry and work commencement are complete and submitted on time.
· Maintain up-to-date employee records, training records, and other personnel administration documents.
· Arrange and coordinate training registrations, schedules, attendance records, and training certificates where applicable.
· Track teammates’ daily attendance, leave, medical leave, and other related records, and highlight discrepancies when necessary.
· Prepare simple reports, trackers, and status updates for management review.
· Liaise with internal departments and external parties to ensure timely completion of administrative and personnel-related processes.
· Organise, file, and maintain both physical and electronic documents in a systematic manner.
· Provide general administrative support to the team as assigned from time to time.
Required skills and qualifications
· Diploma or equivalent qualification in business administration, human resources, or a related field.
· At least 1–3 years of relevant administrative experience, preferably in project administration or personnel administration.
· Good understanding of administrative processes, document control, and compliance-related submissions.
· Experience in handling work pass applications, renewals, Permit to Work submissions, workers’ namelists, or related personnel documentation will be an advantage.
· Proficiency in Microsoft Office applications, especially Excel, Word, and Outlook.
· Strong organisational skills with good attention to detail and accuracy.
· Ability to manage multiple tasks, prioritise work effectively, and meet deadlines.
· Good communication and interpersonal skills to coordinate with different stakeholders.
· Able to handle confidential information with professionalism and discretion.
Preferred skills and qualifications
· Experience supporting project administration or HR-related administrative functions.
· Familiarity with employee attendance tracking, leave administration, and training coordination.
· Knowledge of basic employment documentation and administrative compliance requirements.
· Ability to work independently while also collaborating effectively with the team.
· A proactive attitude, willingness to learn, and commitment to accuracy and timeliness.
