Key responsibilities

• Process all suppliers' invoices accurately within the given period

• Check and resolve invoice discrepancies, including perform problem tracking and ensure that issues are escalated in a timely manner and properly documented, prioritized, tracked and resolved (with suppliers/purchasing/warehouse)

• Perform data entries for AP records

• Monitor and reconcile suppliers' aging records with suppliers' statement

• Compile payment vouchers and documents for signature

• Ensure proper and organized filing of documents relating to payments

• Witness and monitor the scrap metal's disposal process

• Assist in monthly stock count

• Handle ad hoc assignments when required by management

JOB RESPONSIBILITIES:

Warranty Department

• Assist in receiving and checking warranty parcels from GDEX.

• Open, sort and record warranty units received into the warranty report.

• Check and verify the quantity and details of received units.

• Coordinate with the Warranty Technician for units sent for repair and collection of repaired units.

• Assist in performing basic QC checks on repaired units.

• Update warranty records accurately in Excel.

• Share shipment and warranty updates with the relevant dealer group.

• Coordinate with the packing team to ensure repaired units are properly packed and shipped.

Spare Parts Department

• Assist in preparing and issuing spare parts according to technicians' requests.

• Assist in recording spare parts usage and maintaining inventory records.

• Assist in counting and checking used spare parts.

• Assist in preparing Stock Issue (SI) documents in AutoCount.

• Assist in checking stock quantities and ensuring records are updated and traceable.

• Support daily spare parts operations and stock control activities.

REQUIREMENTS:

• Currently pursuing Diploma/Degree in Business Administration, Logistics, Operations, or related field.

• Good communication and teamwork skills.

• Willing to learn and able to work in a fast-paced environment.

• Candidates who are able to communicate in Mandarin are an added advantage.

• Responsible for planning, buying, sourcing and expediting materials, commodities from approved vendor lists both locally and overseas

• Maintain and execute suppliers scorecard programs

Educational/Certification Requirement:
