Job Summary:
The Logistics & Shipping Officer plays a critical role in managing end-to-end logistics, shipping, and terminal operations while ensuring strict regulatory compliance across inbound and outbound activities. This position oversees imports and exports, tank-to-tank transfers, weighbridge operations, and cargo documentation, coordinating closely with internal teams and external stakeholders such as port and terminal operators, ship agents, surveyors, laboratories, Customs, MPOB, KPK, and other authorities to guarantee smooth clearance, accurate reporting, and operational readiness. By upholding customs regulations, safety and environmental standards, and procedures for bonded terminals and free trade zones—including the handling of regulated or hazardous materials—the LSO safeguards business continuity and contributes to operational excellence. The role demands vigilance in risk identification, cost management, and documentation accuracy, coupled with strong problem-solving skills to ensure timely, reliable, and compliant execution aligned with quality, safety, and cost objectives.
Job Responsibilities
To ensure all import and export shipments comply with customs regulations, managing documents such as bills of lading, shipping manifests, Certificates of Origin, and MPOB/DOSM/Customs reports. This includes accurate reconciliation of shipment volumes, HS codes, and reference numbers, as well as alignment of documentation for intercompany transactions to support trade compliance and audit readiness.
Requires close collaboration with port authorities, customs officials, laboratories, surveyors, and agencies (e.g., MPOB, Jabatan Kimia) to facilitate smooth shipment clearance and certification. Internally, the LSO coordinates with Production and Supply Chain teams to align logistics with business needs, while overseeing terminal and vessel operations to ensure safe readiness, communication, and compliance with permits and safety standards.
To maintain data accuracy in logistics software, shipment tracking, and cost documentation. Responsibilities include updating weighbridge records, truck movement logs, and shipment summaries, monitoring filing systems for audit readiness, and verifying logistics costs against agreed tariffs and contracts to ensure financial accuracy and control.
Involves evaluating risks associated with logistics operations, monitoring potential cost exposures such as demurrage, detention, or vessel delays, and proposing mitigation measures. You also need to ensure cost efficiency by validating invoices against contract terms and escalating issues early to prevent operational or financial impact.
To enforce strict adherence to HSSE standards, overseeing hazardous material handling, transport safety, and environmental compliance. This includes monitoring Q88 forms, pilot bookings, and port safety requirements, ensuring cargo integrity during vessel operations, and supporting toolbox meetings, PTW compliance, PPE usage, and emergency preparedness.
As the primary contact for logistics challenges, the LSO manages disruptions diplomatically and efficiently, coordinating recovery actions during documentation issues, port delays, equipment failures, or cargo variances to minimize downtime and maintain safe operations.
To stay updated on regulatory changes, logistics software advancements, and industry best practices, while supporting internal coaching and knowledge sharing on documentation, terminal operations, MPOB reporting, and cargo calculation to strengthen team capability.
The role includes end-to-end coordination of vessel operations, from system registration and pre-berth readiness to monitoring loading/discharging and post-operation reporting. You work with surveyors to certify cargo quality and quantity, ensuring alignment between shore and ship figures to reduce disputes and claims.
Job Requirements
Diploma in Supply Chain Management, Logistics, or related field with at least 8 years of experience, OR 10 years of relevant experience with professional certification in logistics, shipping, or supply chain operations.
Prior exposure to terminal operations, loading master duties, jetty/tank farm/weighbridge operations (Track A), or marine surveyor background in cargo measurement, sampling, and quality control (Track B).
Strong understanding of customs procedures, import/export documentation, MPOB requirements, and regulatory compliance.
Proficiency in logistics and shipping software for planning, tracking, and cost management.
Skilled in hazardous materials handling, including storage, inventory management, and transport preparation.
Comprehensive knowledge of inland logistics processes, route planning, and safety protocols for both road and sea transport.
Familiarity with bonded terminals, free trade zones (FTZs), and port safety/environmental regulations.
Experience in HSSE implementation, including toolbox meetings, PTW compliance, PPE requirements, and emergency preparedness.
Familiarity with Q88 form assessments, pilot booking procedures, and port entry requirements.
Ability to ensure cargo integrity during vessel operations, including sampling readiness, sealing control, and contamination prevention.
Have any of mentioned certifications will be an advantage: Loading Master certificate, vessel cargo operation training, MPOB Surveyor course/certification, IMDG/Dangerous Goods awareness, tank terminal safety, and cargo calculation training.
Strong organizational skills with the ability to manage multiple shipments, documentation, and schedules.
Excellent problem-solving and time-management abilities, with diplomacy in resolving complex logistics challenges.
Willingness to work shifts, weekends, or holidays depending on operational needs, and ability to operate safely in potentially hazardous environments.
Occasional travel may be required for supplier visits or training.
